You've had a first call with us about Tuvabook, or someone on the committee has sent you this link before the next meeting. Below are the 20 questions a committee asks before it changes booking system, each answered in one to three sentences. Read it in five minutes, then send us whatever's missing.
The five answers most committees want first
- £149 a month for a single club, no setup fee, month to month.
- Golfers never pay a booking fee.
- Live in three weeks: we move your tee sheet, prices and members across for you.
- Visitors pay in full when they book, into your club's own Stripe account.
- You own your data and can export it whenever you like.
Price and contract
How much does Tuvabook cost?
£149 a month for a single club, with no setup fee. Clubs running more than one course go on our Partner plan, priced around their size. The full breakdown is on our pricing page.
Is there a contract?
No. You pay month to month, because we'd rather earn the renewal than hold you to a contract. If the club decides to stop, you stop at the end of that month and take your data with you.
Do golfers pay a booking fee?
Never. The price your golfer sees is the price they pay, member or visitor. A £45 visitor green fee costs the visitor £45.
What does the £149 include?
The tee sheet, online booking, your club's own iOS and Android app, a booking widget for your website, memberships and renewals, competitions, lessons, events, payments, analytics and staff permissions, all in the one price. Members join and renew in the app, and renewals bill automatically on the date you set; we've set that out in membership renewals in your club's own app.
Moving over
We're on BRS Golf, ClubV1 or intelligentgolf. Can we move?
Yes. Your tee sheet, members and pricing come across from BRS Golf, ClubV1, intelligentgolf, MiClub, Golf Genius, GolfNow or wherever you keep them now, and we do the moving. We've set out Tuvabook against BRS Golf, against ClubV1 and against intelligentgolf row by row.
How long until we're live?
Three weeks from signing to taking real bookings. We set everything up, train your team, and you check it all over before members see it. A decision at the autumn meeting has members booking in your app well before the season; switching tee sheet software over the winter sets out the eight weeks from vote to first Saturday.
What happens to the bookings and history already on our system?
We move your tee sheet, members and booking history across for you. Your office doesn't retype a thing, and you sign it all off before you switch.
How can the committee judge it before signing?
Book a 30-minute demo and we'll walk you through the full booking flow, and take whatever questions your committee throws at us. Because it's month to month, the committee is committing to one month at £149.
Your members and the app
Do members have to download an app?
No. Your club gets its own app on the App Store and Google Play with your name, crest and colours, and anyone can also book through your website. Both feed one tee sheet, so two people can't land on the same time.
Do members need a new login?
They sign in to your club's app with Apple, Google or an email address, whichever they already use. They can add a Face ID or fingerprint lock on their phone.
Do members pay anything extra?
No booking fee, ever. If a category has Green fees included ticked (Membership categories > category > Course access), the booking summary shows "Included with your membership" and the member pays nothing for that round. On a capped category, the app counts down how many included rounds they have left.
Do members still book before visitors?
Yes. Each membership category gets its own priority booking window, so members get the first look at Saturday morning before any visitor does. Members also move or cancel their own bookings inside the rules you set, and a waitlist offers cancelled times to the next golfer.
Visitors, guests and payments
How do visitors pay?
In full when they book, by card, Apple Pay or Google Pay. Stripe pays the money into your club's own account and on to your bank; we never hold your funds. A visitor who books at 10pm for a 7:30 tee time has paid before your office opens, and a no-show has already paid.
What if the pro shop takes a phone booking?
Staff click New booking in the dashboard and book the golfer onto the same tee sheet. They choose Pay on arrival, Send payment link, or Paid externally and record cash, card machine, bank transfer or member's account. Phone, walk-in and online bookings sit side by side, so there's no separate diary to reconcile at the end of the day.
Can we run society days?
Yes. Create an event, choose Society day as the type, add the organiser's name, email and phone, set an entry fee and a cap on places, and golfers register and pay in the app. Catering notes, dress code and staff-only notes live on the same event, and the money's in before the first minibus arrives. The full routine is in golf society bookings, paid up front.
Do lessons with the pro work too?
Yes. Members book your pro's open times in the app and pay for a single lesson or a prepaid package up front, and they move the lesson themselves if their week changes. If you cancel one, a card payment goes back in full and package credit returns to their wallet.
Competitions and handicaps
Can we run our competition calendar in it?
Yes: Stableford, medal, matchplay, 4BBB, Texas Scramble and other team formats, with divisions, handicap limits and WHS allowances worked out for you. Members enter and pay in the app, score hole by hole on their phone and follow the leaderboard live, even from the iPhone lock screen. You set the draw, we do the maths, and staff can still add entrants who call in at the desk.
What happens to our handicaps?
Your members' Handicap Index lives with England Golf. They add their CDH ID and index in the Tuvabook app, competition entry and handicap limits use them, and your club's handicap system carries on as it does now.
Your data
Who owns the data, and what if we leave?
You own it. Export your members and bookings whenever you like, and if you ever move on, you take everything with you. We never sell your data.
Is it safe?
Card numbers never touch our servers; they go straight to Stripe. Each club's data is walled off from every other, every member of staff gets access by role, and every action is logged. A member can ask to see or delete what you hold on them under UK GDPR, and you handle it in a click from the dashboard.
Ask us the 21st
Every committee has one question that isn't on this list. Send it to us in the message box when you book a demo, or through our contact page, and tell us when the committee meets. We'll answer it in writing before that date, so you can put our reply straight into the committee papers.
